Publishing Terms and Conditions

1. Scope of Services

Zambian ARTS Publishing House (“Publisher”) offers professional publishing services under various packages, including:

• Manuscript Review: Evaluation for quality, coherence, and readiness for editing.
• Professional Editing: Comprehensive editing of grammar, structure, and content.
• Book Cover Design: Custom cover creation matching the book’s theme.
• Formatting and Typesetting: Layout preparation for both print and digital formats.
• ISBN Assignment: Registration and assignment of an International Standard Book Number.
• Book Compilation: Final assembly of the book’s text, images, and design elements.
• Marketing Materials: Two professionally designed promotional banners.
• Basic Marketing: Introductory online marketing through social media and digital platforms.
• Community Affiliation: Connection to literary and business networks.
• Book Launch Consultancy: Guidance on planning a successful book launch event.
• Hardcopy Samples: Provision of two printed copies (package dependent).

Please note that not all of the services listed above may be included in your package. Review your selected package to see which services apply.

2. Publishing Packages

Authors can select publishing packages tailored to their needs. Package pricing varies, and bulk printing costs are quoted separately. Full package details are available upon request.

3. Manuscript Confidentiality

• All manuscripts are treated with strict confidentiality.
• Manuscripts will not be shared, sold, or used outside the publishing process without written consent.
• Both digital and physical copies will be securely managed.

4. Submission Guidelines

All submissions must be made digitally via the system on the website or directed by an agent.

Submission Requirements:

• Manuscript in Microsoft Word (.docx)
• Images (if applicable) in JPEG
• A short biography for the “About the Author” section.

5. Publishing Process

• The entire publishing process is handled remotely.
• Authors will collect printed books from the Lilayi printing warehouse in Lusaka.
• Authors based outside Lusaka must arrange pickup or cover delivery costs.

6. Payment Terms

• Full payment must be made before publishing work commences.
• Payment options include Mobile Money and Bank Transfer (details provided upon invoice).
• Bulk printing is not included in publishing packages and will be charged separately.

7. Publishing Timeline

• Publishing takes a maximum of 21 working days after full payment and complete submission of materials.
• Bulk printing will require a separate timeline and arrangement.

8. Author Rights

• Authors retain full ownership of their intellectual property.
• Authors are responsible for submitting finalized manuscripts ready for publishing.
• Authors must review and approve drafts and designs within specified timelines.

9. Publisher Responsibilities

• The Publisher is committed to delivering professional production quality.
• The Publisher is not responsible for any third-party distribution or marketing beyond the agreed scope.
• Additional services not included in the selected package must be arranged and paid for separately.

10. Copyright and ISBN

• The Publisher will register and assign the ISBN as part of the publishing process.
• ISBN registration is handled by the Publisher to ensure global cataloging.

11. Termination Policy

• Either party may terminate the publishing agreement in writing if obligations are not met.
• No refunds will be issued for services already provided if termination occurs after payment.

12. Refund Policy

• No Refunds Policy: Zambian ARTS Publishing House does not offer refunds once publishing work has commenced.
• Exception Clause: A refund may only be requested if the Publisher fails to complete the project and 21 working days pass after the initially agreed completion date without communication, updates, or reasonable explanation.
• Refund Request Process:
  • The Author must submit a formal refund request via email.
  • Refunds will take up to 31 days to process from the date the request is approved.
• Refund Amounts:
  • The total refund value will be calculated based on the remaining unfulfilled portion of the work.
  • Services already completed or partially completed will be deducted from the refund amount.

13. Legal Jurisdiction

All agreements with Zambian ARTS Publishing House are governed by the laws of the Republic of Zambia.
