Terms of Publishing
Publishing Terms and Conditions – Elite Package (K6,500)
1. Scope of Services
Zambian ARTS Publishing House (“Publisher”) offers comprehensive publishing solutions through the Elite Package, designed for authors seeking a full-service experience. This package includes:
Manuscript Review: A detailed evaluation of the manuscript for content flow, coherence, and readiness.
Manuscript Report: A personalized report offering feedback, suggestions, and publishing recommendations.
Professional Editing: Thorough editing for grammar, punctuation, sentence structure, and style enhancement.
Book Cover Design: A customized front and back cover that reflects the genre, tone, and content of the book.
Formatting and Typesetting: Print and eBook layout design for professional readability and consistency.
ISBN Assignment: Unique ISBN assigned and registered to ensure global cataloging and identification.
Compilation and Proofreading: Final compilation and a meticulous proofreading pass before publication.
2 Display Marketing Banners: Professionally designed banners for book promotion at events or online.
Basic Marketing: Online presence building via our official platforms and targeted digital promotion.
Community Affiliation: Integration into relevant literary and entrepreneurial networks.
Book Launch Consultancy: Professional support to plan and execute a successful launch event.
3 Hardcopy Samples: Three printed sample copies delivered upon publication.
Onsite Webstore Setup: Creation of a dedicated sales page on the Zambian ARTS Publishing House website.
Bookstore Affiliation: Listing and availability through Bookworld Zambia stores (subject to store confirmation and distribution timelines).
Book Reviews via ZAP: Editorial review and rating from Zambian ARTS Panel (ZAP) for credibility and feedback.
Book & Author Management (1 Month): Post-publishing coordination for marketing, logistics, and media.
2. Publishing Packages
The Elite Package is priced at K6,500 and is our most extensive publishing plan. It combines production, initial marketing, digital setup, bookstore presence, and limited author management support.
3. Manuscript Confidentiality
All submitted materials are kept strictly confidential and used solely for the publishing process.
No files will be disclosed, reused, or distributed without the Author’s written approval.
We ensure secure file handling for both digital and physical content.
4. Submission Guidelines
Submissions must be made digitally through the official submission portal or directed via an approved publishing agent.
Required Submissions:
Microsoft Word (.docx) manuscript
High-quality images (if applicable) in JPEG format
A short biography and author photo for the “About the Author” section
Any necessary metadata for webstore setup (blurb, keywords, genre, pricing preferences)
5. Publishing Process
All communication and publishing steps will be handled remotely.
Once publishing is complete, three hardcopy samples will be printed.
Authors can collect these from the Lusaka office or arrange for delivery (delivery costs apply for those outside Lusaka).
Webstore and bookstore setup will be coordinated post-approval of final files.
6. Payment Terms
A full payment of K6,500 is required to finalize your submission and activate the publishing process.
Publishing work will only begin upon confirmation of payment.
Payment options include Mobile Money and Bank Transfer (details will be provided on your invoice).
Bulk printing beyond the 3 sample copies is not included and will require a separate invoice.
7. Publishing Timeline
The standard turnaround time is up to 21 working days from the date of full payment and submission of all required materials.
Delays due to late submissions or slow review responses from the Author are not the Publisher’s responsibility.
Bookstore listings and reviews may take additional time depending on coordination with external partners.
8. Author Rights
The Author retains full intellectual property rights and copyright ownership.
Authors are responsible for timely approvals and content submissions.
The Publisher reserves the right to archive final files solely for record-keeping and reprints, with the Author’s consent.
9. Publisher Responsibilities
The Publisher will provide all deliverables and services included in the Elite Package with professional quality.
Any additional services (e.g., press interviews, podcast features, merchandise) are outside the Elite Package and can be arranged separately.
10. ISBN and Copyright
The Publisher will handle ISBN registration and assignment.
The assigned ISBN will be registered under the Zambian ARTS Publishing House catalog, but the Author remains the legal copyright holder.
11. Termination Policy
Either party may terminate the agreement if obligations are not met.
In cases of termination after services have commenced, no refund will be issued for completed tasks.
A formal written notice is required to initiate termination from either party.
12. Refund Policy
No Refunds Policy:
Refunds are not offered once publishing work has begun.
Exception Clause:
A refund may be considered only if the Publisher fails to deliver the complete project and provides no updates for 21 working days beyond the promised timeline.
Refund Request Procedure:
A written refund request must be submitted to the Publisher.
If approved, the refund will be processed within 31 days.
Only the value of unfulfilled services will be refunded; completed portions of work will be deducted.
13. Legal Jurisdiction
All agreements entered into with Zambian ARTS Publishing House are subject to the laws and legal processes of the Republic of Zambia.
